This document is a plain-language template provided for the IPropertyPro platform. It is not legal advice — have it reviewed by a qualified privacy professional before you rely on it in production.

1. What we collect
We collect only what we need to provide the Service:
- Account data — your name, email, agency details and role.
- Content data — the listings, images, bookings, owners and messages you create.
- Billing data — subscription and payment information, processed securely by our payment provider (we do not store full card numbers).
- Usage data — technical logs and analytics that help us keep the Service secure, reliable and fast.
2. How we use it
We use your data to operate and improve the Service, authenticate you securely, process payments, provide support, send essential service communications, and comply with legal obligations. We do not sell your personal data.
3. Legal basis
Where applicable law requires it, we process personal data on the basis of performing our contract with you, our legitimate interests in running and securing the Service, your consent (which you may withdraw), and compliance with legal obligations.
4. Sharing & processors
We share data only with trusted service providers who process it on our behalf under contract — for example, cloud hosting, media storage (DigitalOcean Spaces), payment processing (Stripe) and the portal syndication channels you choose to enable. We may also disclose data where required by law.
5. How we protect it
Security is built into the platform. We apply encryption in transit, encrypt sensitive secrets at rest, offer two-factor authentication and passwordless passkeys on every account, and enforce role-based access controls so users only see what they should. No system is perfectly secure, but we take protecting your data seriously.
6. Data retention
We retain your data for as long as your account is active and as needed to provide the Service. After account closure we retain data only as long as necessary for legitimate business or legal purposes, then delete or anonymise it. You can export your content using the tools available on your plan before you leave.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data, and to object to certain processing. To exercise any of these rights, contact us using the details below and we will respond within the timeframe required by law.
8. Cookies
We use a small number of cookies and similar technologies that are essential to running the Service — for example, keeping you signed in and remembering your theme and language preferences. We keep non-essential tracking to a minimum. You can control cookies through your browser settings, though disabling essential cookies may affect how the Service works.
9. GDPR
If you are in the European Economic Area or the United Kingdom, we process your personal data in line with the GDPR. You have the rights described above, the right to lodge a complaint with your local supervisory authority, and, where we transfer data internationally, we rely on appropriate safeguards for those transfers.
